How AI appointment scheduling works on WhatsApp

What it does

The agent schedules, reschedules and cancels appointments by chatting on WhatsApp. It only offers times that are truly available and records the appointment in your business calendar.

How it works

Availability comes from three sources: your configured business and staff hours, already booked appointments, and the connected Google Calendar (if a slot is busy on the calendar, the agent doesn't offer it). The agent checks that availability at that moment, suggests options and confirms the appointment with the customer's details.

Where to set it up

  • Bookable services and their duration: the Scheduling menu.

  • Business and staff hours: Business / Team, the Hours and Scheduling tabs.

  • Google Calendar connection: Integrations.

  • The calendar with booked appointments is in the Scheduling menu.

What NOT to put in the prompt

  • Business hours ("we're open 9 to 6"): set them in your business hours. If they go in the prompt, they go stale and the agent offers fake times.

  • Lists of services with duration and price: they go in your bookable services.

  • Availability rules ("don't schedule on Sundays"): your configured hours rule.

The prompt can define the tone when scheduling and your own policies, for example asking for a deposit or confirming in advance.

Train it with your own AI

Do you use ChatGPT or Claude? Connect them to your TBit agent and let them help you train it with your real data: on the platform go to Agent settings, the Connect your AI section, generate your token and add the connector https://api.tbit.app/mcp. Your assistant can review the prompt, the memories and recent conversations, and suggest improvements.
